Money Handling and Banking Procedures

In the interests of being competent stewards of God’s resources given to us for Ministry, and safeguarding the reputation of our volunteers who help us in handling money, the following money handling and banking procedures have been formalised. In forming these procedures, guidance has been taken from the LLL Insurance guidebook.

Electronic given through LLL will be regularly promoted as a desirable way to give to the Lord for the work of the Church. However it is recognised that cash offerings will continue to be an important part of receiving income.

Handling the offering:

  1. Offering is to be counted as soon as possible after the service (8am and 9:30am services can be counted together).

  2. The offering is to be counted in a discrete area, generally the Vestry.

  3. Two unrelated adult members of Good News Lutheran Church should do the counting together and check the final numbers.

  4. The offering form needs to be completed and signed by the offering counters.

  5. Any envelopes marked to the Treasurer or Confidential, should not be opened by the counters.

  6. The offering should then be handed onto one of the Ministry Staff (Pastor, Community Chaplain or Church Secretary).

  7. Offering will be removed from the church building and will be banked by Ministry staff on the Monday after the church services.

Other Cash income/transactions:

Many fund raising activities e.g. car wash, Bunnings BBQ; buying resources for ministry e.g. study guides for small groups; and many youth activities will primarily involve receiving funds by cash, and the same procedures (counting by two independent members, documentation of money received, regular reporting of money received and spent, and rapid banking) should apply to handling money from these sources. These funds should also be delivered to ministry staff in a timely manner for banking and accounting.
